Meeting notes to follow-up email prompt

Paste messy meeting notes, get a clean client follow-up with decisions, action items, and owners — in your voice, not AI-speak.

The follow-up email is where good meetings go to die: everyone agrees it should go out, nobody sends it, and a week later the decisions are folklore. This prompt makes the send-it-today version nearly free. It’s a pure “transforming” task — the thing LLMs are most reliable at (LLMs in plain English for business owners).

The prompt

Turn my raw meeting notes into a client-ready follow-up email.

RULES:
- Only include things actually in the notes. If something is unclear, put it
  under "To confirm" rather than guessing.
- Voice: professional but human. Short paragraphs. No "I hope this email finds
  you well," no "per our conversation," no bullet-point walls.
- Structure: 1-line thanks and context → "What we decided" → "Who's doing what,
  by when" → "To confirm" (only if needed) → next step and sign-off.
- Keep it under 200 words unless the notes genuinely require more.
- Address it to [client first name]; sign it [your first name].

How to adapt it

  • The “only in the notes” rule is the important one — it’s what stops invented action items. Keep it.
  • If you record calls, paste the transcript instead of notes; add “the transcript may contain small-talk — ignore it.”
  • Same skeleton works for internal recaps: swap the client rules for “blunt, internal tone.”
